The difference
From "go ahead" in your inbox to a quote that handles itself
Emailing a PDF works, until you need to work out who agreed to what and which amount goes on the invoice.
| Step | With FinBaze | PDF by email |
|---|---|---|
| Getting a yes | Your customer taps Accept and you see it straight away | Waiting for a "go ahead" email, or chasing |
| Terms | Your customer ticks your terms before accepting | Hoping the attachment was read |
| Deposit | Your customer pays the deposit on the quote page | Sending a separate invoice and waiting |
| Invoicing | The invoice is drafted with the same lines | Retyping the quote into an invoice |
| Changes | An accepted quote is locked | Which version did the customer see? |
| Overview | Every quote has a status: draft, open, awaiting payment, accepted or expired | Keeping a list of open quotes |
Deposit
Money in before you order materials
Ask for a percentage of the quote up front. Your customer pays by card on the quote page, and only then is the quote accepted.
- You set the percentage, for example 30% on a job with lots of materials
- Your customer pays straight away, with no separate invoice or bank details
- Until it's paid, the quote shows as "awaiting payment"
30% deposit · £3,708.00
Invoicing
An accepted quote becomes your invoice, without retyping
On acceptance, FinBaze drafts an invoice with the same customer and lines.
- Customer details, lines and VAT carry over exactly
- Prefer to choose the moment? Convert the quote in one click
- The invoice matches what your customer accepted
